How To Set Up A ReunionSetting Up a Reunion - General Overview
1. You decide on a date and venue. Tell us and we will make the necessary deposit. As the reunion date nears, we advertise it on our website and put it on our FB page.
2. We send you a class database and a "Missing" list. You and your helpers try to locate the missing people. When you find anyone, you then report same to our database manager, who will update the mailing list. 3. You arrange for a printer, get quotes on what you want done, and submit to us. We think Minuteman Press seems to have the best prices. You design a letter and about two months prior to your party we will send our specially formatted database (set up for mailing labels) to your printer. They will send you a proof for approval. You may have the printer fold and stuff and print the envelopes. You purchase stamps and turn in your receipts and we will send you a check immediately. 4. Some of the mailed letters will be returned to our Alumni Association's post office box for insufficient address, unknown, etc. There will also be letters returned showing the recipient's correct addresses, which we will send you right away so that you can send new letters to the new addresses. In the meantime, if you locate missing people, you notify us and just hand write envelopes with our address or your return address. Please be sure to notify us of any changes. 5. Your guests pay all expenses. To determine a final cost per person, be sure to add the cost of the dinner, and an estimate for printing, postage, favors/gifts, decorations, etc. It's best if your guests send their ordering information and checks directly to you, which you can forward to our Treasurer. One of our Association members will attend your event to assist and pay the bill to the venue management. If your estimate is short, we make up the difference. Any overages are donated to our Scholarship fund. 6. The reunion venue you select must meet our approval; we can offer venue suggestions if needed. An open bar is not permitted due to a liability exposure. We will pay only $350-$400 for DJ services for four hours, but can negotiate for extra hours.
